Members and invitations

Owners and administrators manage access under Members & access. Choose staff roles for colleagues and External client for someone who should see only their assigned spaces and shared content.

Send an invitation​

  1. Enter the recipient's exact email address.
  2. Select their role and permitted spaces. Set the external credit envelope in the space if the recipient should run searches.
  3. Choose Send invitation. The delivery is queued; a shareable link is also available. Treat that link as a secret.
  4. Review delivery status if the email does not arrive. Creating the link does not itself create a membership.

The invitation opens a dedicated welcome page. A new recipient can create an account with the email prefilled; an existing recipient can sign in. The invitation is resumed after authentication. Acceptance is explicit and requires the verified email named in the invitation. If a different account is signed in, switch accounts first.

An expired, revoked or already accepted link cannot be reused. Reissue an invitation when necessary; do not ask the recipient to share a password or verification code.

Staff SSO and client accounts​

Staff may use SSO, including a mandatory policy chosen by the owner. External clients keep their named account access. An identity provider does not assign client spaces or promote someone to administrator. Those permissions remain in Profundis.

An external user may search within the budget granted by the cabinet. They do not receive the cabinet's full credit balance or automatic access to internal notes, evidence and reports.

Remove or change access​

Remove a space assignment to revoke that scope, or remove the member entirely. Check separately published reports and guest links. Role and capacity checks apply when an invitation is accepted, so availability can change after the invitation was issued.

Changing a contact in Declared scope & contacts does not invite a user, alter their permissions or notify them.
