Follow your organization’s infrastructure

Teams and Business support two workflows with the same prices and capacities: Internal security team and Manage client work. Choose the workflow when creating your organization. Its owner can change it later in Settings without moving data or changing permissions, budgets or subscription.

1. Create an asset scope​

Use a scope for a brand, subsidiary or technical area. Assign the colleagues who need it and set its credit envelope. The envelope is part of the organization's shared credits, not an additional allocation. Existing client spaces become asset scopes in the internal workflow; their data and access remain unchanged.

2. Declare your domains​

Open Declared scope & contacts → Edit scope & contacts. Add a hostname, IP, network range or organization name. For domains, decide whether to include subdomains. Contacts describe who is responsible; they do not receive an account, access or messages automatically. Declaring a domain is not proof of ownership.

3. Prepare monitoring​

Under Monitor a declared domain, select a domain and a dataset:

  • Hosts: observed services and their attributes.
  • DNS: observed names and values.
  • Certificates: covered names and certificate changes, including expiry signals when supported by the collected record.
  • WHOIS: registration observations for the exact declared domain.

Profundis prepares a query from the saved scope. For Hosts, DNS and Certificates, including subdomains matches both the exact name and its subdomains. WHOIS uses the exact domain. It does not infer that a hostname has its own registration.

Review the query, page limit, credit cap and frequency. Choose Validate query & estimate before saving. Scheduled collection needs explicit authorization; opening the form starts no watch or search. The first usable collection becomes the baseline. See Monitoring for budgets and collection limits.

4. Review changes and prepare reports​

Use the monitoring inbox to review changes, assign follow-up and record decisions. Keep useful observations in investigation cases. Reports & schedules opens reports for the same scope; select evidence and review its visibility before publishing or scheduling. See Reports.

The internal overview counts declared domains, scheduled watches, changes awaiting review and ready/shared reports in scopes you can access. The recurring-report onboarding step completes when that scope has an enabled report schedule.

What the observations establish​

Declared domains are not a discovered inventory. The data may be partial or old; a successful collection does not establish complete coverage, current availability or disappearance. A new observation can be newly indexed historical data. Use its source and observation date when deciding whether action is needed.

External accounts and sharing remain explicit even for internal teams. Changing workflow never exposes a case or report, grants permissions, starts monitoring or charges credits. Scans, managed security services and custom onboarding are not part of this workflow.
