Export and delete organization data
The owner controls the portable organization archive and deletion request. Personal accounts and other organizations remain separate.
Export an archive
Open Settings → Export organization data and choose all spaces or one space. The archive is free to download and remains available in read-only mode. It includes internal information, so do not send it directly to an external client as a report.
Each JSON part uses profundis-organization-data/v1 and includes the organization, capture date, collections and continuation cursors. Keep choosing Download next part until no data remains. If a request fails, retry that part; do not skip to another cursor.
The archive includes spaces, roles, budgets, cases and revisions, notes, evidence with public signatures and annotations, saved searches, report definitions and snapshots, recipients, schedules, watches, changes and review history. It excludes private signing keys.

- Rendered report files from Reports.
- Retained search exports from Exports.
- Official invoices from the billing portal.
- Payment and credit activity CSV from Billing.
API credentials, SSO/webhook secrets, guest tokens and temporary job results are excluded. The manifest lists exclusions. Keep both the JSON parts and the separate files you need.
Each part is consistent at its capture time; edits between parts can change the exported records. Avoid concurrent changes during an archive. This is a portable record, not an operator backup or an automatic organization-import feature.
After a trial or subscription expires
Where the retention policy is enabled, expiry starts a 30-day read-only window. The organization shows the actual deadline. Paid searches and schedules stop; existing data remains exportable. Renewal before the deadline restores the applicable rights without creating a second trial.
The owner can receive deadline reminders through the configured email system. Check the date in the workspace even if a notification did not arrive.
Closing versus deletion
Close organization and Delete organization are separate actions. Closing requires the subscription to have actually ended, including the paid-through period, and pending billing operations to be resolved. Scheduling cancellation at the next renewal is not enough while the paid period or Stripe subscription remains active. Its preview shows the eligible unused purchased or adjustment credits that will move to the owner’s personal wallet. Confirm the organization name and that amount; if it changes, review the new preview. Monthly and trial allocations do not transfer. Closing is permanent and stops organization work.
Deletion removes retained content through the procedure below and does not itself transfer credits or issue a refund. Export the records you need before either action.
Request deletion
- Export your data and download retained files.
- Cancel renewal in the billing portal and resolve pending plan changes.
- Open Settings → Delete organization, type its exact name and confirm the deadline.
- Authenticate again if requested. Mandatory SSO remains applicable to the owner.
Content access closes immediately. Jobs stop, service keys and guest links are revoked, and automations pause. For seven days, the owner can find the organization in their list and cancel deletion. Other members cannot access its pending content.
Cancelling keeps the content but does not recreate revoked credentials/shares or restart schedules. Review and recreate access deliberately. After the cancellation window, a storage outage does not extend the time to recover the organization.
What is removed?
Cleanup removes private files before finalizing content deletion. A transient storage error keeps cleanup pending and is retried. Cases, evidence, reports, watches, queries, contacts and private configurations are removed.
Accounting references follow the applicable retention policy. Deletion does not issue a refund or transfer credits. Backups have their own retention schedule; this is not an immediate erasure of every backup copy. Availability of automated retention/deletion depends on the installation configuration and the status displayed in your workspace.
